These terms govern the use of Ravisign, an electronic document signing platform operated by Ravi Systems LTDA. By creating an account, using the dashboard or the API, or signing a document through Ravisign, you confirm that you have read and accepted these conditions.
1. Purpose of the service
Ravisign allows companies and professionals (the customers) to send documents for electronic signature, track signatures, store the signed copies and offer third parties public verification of the authenticity and integrity of those documents.
The service is provided exclusively over the internet, on Ravi Systems servers, through the web dashboard, the signing page, the public validator and the application programming interface (API). Ravisign is not installed on customer servers.
Ravi Systems acts as the provider of the signing platform. Ravi Systems is not a party to the documents signed by customers, does not draft or review their content and is not liable for the obligations undertaken in them.
2. Definitions
Customer: the legal entity or individual that subscribes to Ravisign and holds an account. User: a person authorized by the customer to access the account dashboard. Signer: anyone invited to sign, approve, witness or follow a document, with or without a Ravisign account.
Envelope: the set formed by a document, its signers, the signing order and the deadline. Audit trail: the chronological, chained record of each envelope's events. Final copy: the PDF signed with the platform certificate, together with the signature manifest.
3. Account and customer responsibilities
The customer must provide true registration data and keep it up to date, keep the account passwords and API keys confidential, and define which users have access and with which profiles. Every action performed with the account credentials is attributed to the customer.
The customer is solely responsible for the content of the documents it sends, for choosing the signature level suited to each transaction, for correctly identifying signers (name, email, phone and ID) and for having a legal basis to process their personal data.
The customer must notify Ravi Systems immediately of any suspected unauthorized use of the account, so that the credentials can be revoked.
4. Plans, trial and billing
Ravisign is subscribed through monthly plans defined by envelope volume per month. All plans offer the same features; the contracted limit is the number of envelopes created in the month. Once the limit is reached, the creation of new envelopes is paused until the following month or until the plan is changed, without affecting envelopes already created.
A new account may start with a free trial plan, with the period and number of envelopes stated at sign-up, and no credit card required. When the trial ends, creating envelopes requires subscribing to a plan.
Ravisign billing is separate and independent from other Ravi Systems products, including ChatISP. Prices, due dates and payment methods are stated in the proposal or in the Ravi Systems billing center. Late payment may lead to the suspension of envelope creation, while access to signed copies is kept.
5. Signature levels and legal validity
Ravisign offers simple and advanced electronic signatures, following the classification of Brazilian Law 14.063/2020. At the advanced level, the platform default, the signer confirms authorship with a one-time code, gives express acceptance, and the final document is signed in PAdES with the platform certificate and a timestamp. The qualified signature, with the signer's ICP-Brasil certificate, will be offered at a later stage.
Under art. 10, §2, of Provisional Measure 2.200-2/2001, the parties signing through Ravisign recognize this means of proving the authorship and integrity of electronic documents as valid, even without a certificate issued under ICP-Brasil. The customer undertakes to include this acceptance statement in its documents whenever appropriate.
Article 784, §4, of the Brazilian Code of Civil Procedure admits an enforceable instrument created or attested electronically with any type of electronic signature provided by law, with no witnesses needed when integrity is assured by a signature provider. The effect of each document, however, depends on its content and the specific case; Ravi Systems does not provide legal advice and recommends that the customer consult its lawyer about the appropriate signature level.
6. Signers and collected evidence
To prove who signed, when and under what conditions, Ravisign records in the audit trail the date and time of each event, the IP address, the device and browser used, the channel through which the code was sent and, when the signer consents, the device geolocation.
The customer may require, per envelope, a selfie and a photo of the signer's identity document. These features are off by default and, when used, the images are encrypted and deleted automatically 90 days after the envelope is completed, a period the customer can adjust in the account settings.
By signing, the signer declares to be the person named in the invitation, to have read the document and to agree with its content. The signer receives the signed final copy upon completion and can verify it at any time in the public validator.
7. Document storage and retention
The original document is recorded with its cryptographic digest (SHA-256) when sent and is never rebuilt. The final copy and the audit trail are kept while the account is active and, afterwards, for the limitation period applicable to the documented transactions, so the evidence remains available in case of dispute.
Once the account is closed and the retention period has elapsed, documents and signers' personal data are deleted. The audit trail remains, since it contains no direct personal data and is required for the integrity of the chain of every document on the platform.
The customer is advised to download and keep copies of the signed documents that matter to it. Since each party receives its own copy upon completion, the evidence does not depend solely on storage by Ravi Systems.
8. Personal data protection
Regarding signers' personal data contained in documents and envelopes, the customer is the controller and Ravi Systems acts as processor, handling such data only to provide the service, according to the customer's instructions and Brazilian Law 13.709/2018 (LGPD). Regarding account and user registration data, Ravi Systems is the controller.

9. Security
Ravi Systems adopts technical and administrative measures to protect the service: encrypted communication, sensitive data encrypted with each account's own key, an append-only audit trail, a platform certificate isolated from the rest of the system, two-step verification for dashboard users, encrypted backups and logging of administrative actions.
No system is immune to failure. In the event of a security incident that may cause relevant risk or harm to data subjects, Ravi Systems will notify the affected customers and, where applicable, the Brazilian National Data Protection Authority, as required by the LGPD.
10. API and integrations
Using the API requires a key created in the dashboard, with scopes defined by the customer, and is subject to per-minute quotas and the rules published in the documentation. The customer is responsible for the systems it integrates and for safeguarding its keys; an exposed key must be revoked immediately.
When Ravisign is used through ChatISP, the provider's WhatsApp conversation serves as the channel for the link and the confirmation code. Conversation data recorded in the trail is limited to technical identifiers, without message content.
11. Prohibited uses
It is forbidden to use Ravisign to send unlawful or fraudulent documents or documents that infringe third-party rights; to impersonate another person; to collect signer data without a legal basis; to send unsolicited bulk communications; or to attempt to circumvent, overload or compromise the security of the platform.
If prohibited use is found, Ravi Systems may suspend the account immediately, preserving the evidence, and notify the competent authorities when required by law.
12. Availability and support
Ravi Systems strives to keep Ravisign continuously available, but the service may be interrupted for maintenance, updates or causes beyond its control. Scheduled maintenance is carried out, whenever possible, at times of lower usage.

13. Limitation of liability
Ravi Systems is responsible for the proper operation of the platform and for the integrity of the evidence it records. Ravi Systems is not liable for the content of documents, for the performance of obligations between the parties, for incorrect data provided by the customer, for email or message delivery failures attributable to third parties, or for damages resulting from misuse of the account credentials.
Except in cases of willful misconduct or gross negligence, and without prejudice to consumer rights where applicable, the total liability of Ravi Systems for direct damages related to the service is limited to the amount paid by the customer in the twelve months preceding the event. Lost profits and indirect damages are not indemnifiable.
14. Suspension and cancellation
The customer may request account cancellation at any time from the Ravi Systems team. Ravi Systems may suspend or close the account for non-payment, breach of these terms or legal order, notifying the customer whenever possible.
Upon cancellation, envelope creation stops; envelopes in progress can be completed or canceled at the customer's choice. Completed documents and the trail follow the retention rules of section 7.
15. Changes to these terms
These terms may be updated to reflect changes in the service or in the law. The version in force is always the one published on this page, with the date at the top. Relevant changes are communicated to customers with reasonable notice; continued use of the service after they take effect indicates agreement.
16. Governing law and jurisdiction
These terms are governed by the laws of the Federative Republic of Brazil. The courts of the district where Ravi Systems has its head office are chosen to settle disputes, without prejudice to the consumer's domicile in consumer relationships.
