The signer's experience
This page shows the path of someone who receives a document to sign. There is no need to create an account, install an app or have a digital certificate: everything happens in the browser, on a computer or on a phone.
1. The invitation#
The signer receives the invitation by email, with the name of the company that sent it, the document title, the sender's message (if any), the deadline and the button to open the document. When the envelope comes from ChatISP, the link also arrives in the WhatsApp conversation in which the customer is being served.
The link is personal: it identifies that person in that envelope and must not be forwarded.
2. Document#
The signing page shows the company logo and name, the title and the list of steps: Document, Code, Sign and Done.
- Open document opens the entire PDF in a new tab; afterwards, just return to the page to sign.
- Download document saves a copy to read at leisure.
Opening the link and viewing the document are recorded in the audit trail.
3. Confirmation code#
At the advanced level, the signer confirms their identity with a 6-digit code:
- By email: the signer clicks Get code by email and types the code that arrived. It is valid for 10 minutes.
- Through the conversation: the page shows the instruction "Enter the code sent in your WhatsApp conversation". The code arrives through the provider's customer service and is valid for 30 minutes.
Each code allows 5 attempts. If the code expires or the attempts run out, Request a new code generates another one (up to 4 per hour).
Coming soon sending the code by SMS and by WhatsApp through the official API, and collecting a selfie and a photo of an identity document at signing, for accounts that require it.
4. Sign#
- The signer reads the acceptance clause and checks the agreement box. The text of the clause is defined by the company in Settings.
- They create the signature mark: Draw it with a finger or the mouse, or Type their name, which becomes a cursive signature mark.
- If they wish, they authorize sending the device location. This is optional and is only requested with the signer's consent; refusing does not prevent signing.
- They click Sign.
At that moment Ravisign records the signature in the trail, with date and time, IP, browser and the document hash.
5. Done#
The final screen confirms the signature. If other parties still need to sign, it states that the document will be completed when everyone has signed, and that the final copy will arrive by email. When everyone has already signed, Download signed document and Check authenticity appear.
Decline#
Instead of signing, the signer can click Decline and enter the reason. Declining closes the envelope for everyone: it becomes declined, the sender is notified, and the reason is recorded in the history and in the trail.
Sequential order#
In a sequential envelope, the signer only receives the invitation when their group's turn comes. Until then, their status remains pending.
Expired link or closed envelope#
If the deadline has passed, the envelope was canceled or another party declined, the page states that signing is no longer possible, without showing the document. A signer who needs the document should contact the company that sent it.
Accessibility and languages#
The signing page works in Portuguese, English and Spanish (according to the envelope language), on phone, tablet and computer screens, and follows the light or dark theme of the device.
